They are general planning guidance, not a confirmed itinerary, live entry advice, supplier agreement or commitment to operate any service. 1. START WITH THE TRAVELLERS Define the purpose of the trip, preferred pace, accommodation expectations and the budget available for ground services. Ask what would make the journey meaningful before choosing the list of stops. Use group totals and age bands at enquiry stage. Describe practical needs in general terms. Do not send passport copies, payment card details or medical records with an initial brief. 2. GIVE EACH ISLAND A PURPOSE A second or third island should add something the travellers value. Compare the additional experience with the travel time, cost and number of hotel changes it creates. A focused itinerary can be more appropriate than a route with many short stops. Illustrative planning ideas on our website: - Sumatra: 5 days / 4 nights, with three nights in Bukit Lawang, guided forest walks and a final night in Medan before departure. - Kalimantan: 5 days / 4 nights, including two nights aboard a traditional klotok riverboat in Tanjung Puting and two hotel nights in Pangkalan Bun. - Bali: 7 days / 6 nights, balancing Ubud and the south coast. - Java: 8 days / 7 nights, from Yogyakarta towards East Java and Bromo. - Komodo & Flores: 5 days / 4 nights, based in Labuan Bajo with boat excursions proposed separately and subject to local conditions. - Lombok: a coastal or Gili extension by request; duration and connections are developed around the main journey. These are examples, not operating schedules or guaranteed inventory. Actual duration, routing, activities and availability are confirmed in the proposal. Longer or shorter variants can be discussed. 3. PLAN THE CONNECTIONS FIRST Check arrival and departure airports before refining individual days. Do not assume a flight or boat connection is available because two places look close on a map. Identify luggage arrangements, transfer times, check-in requirements and any overnight needed between services. Allow breathing room before an international departure. Where a route depends on a sea crossing, agree a weather-disruption plan. A spare night helps planning but does not guarantee an uninterrupted connection. 4. RESPECT ACCESS AND LOCAL CONDITIONS Temple visits, cultural events, park access and marine excursions need checks for the actual travel dates. Follow local access requirements, appropriate dress and host or ranger instructions. Ask for the exact service being offered: ticket category, guided access, vessel, route, activity level and any relevant restrictions. Wildlife sightings, weather and scenic visibility cannot be guaranteed. For orangutan programmes, identify the observation setting. Some animals seen near visitor stations have a rehabilitation or provisioning history; do not describe every encounter as an untouched wilderness experience. Follow the local guide or ranger's instructions, keep the required distance and do not touch, feed, call, bait or pursue wildlife. Food and belongings should remain secured as instructed. 5. MATCH THE EXPERIENCE TO THE GROUP Early starts, uneven surfaces, steps, boat boarding and long road days may change what suits a traveller. Flag mobility, comfort and dietary requirements before a supplier is selected. Ask what has been verified, what remains a request and which alternative is available. Activities such as diving, trekking or other specialist programmes need their own suitability and operator review; they are not automatically included in a general sightseeing programme. For Bukit Lawang, agree the length and intensity of forest walks, group size, guide arrangements, trail conditions and alternatives before booking. Describe the travellers' walking confidence and comfort with humid forest conditions. The sample includes two forest days, not a guaranteed sighting. For Tanjung Puting, request the proposed boat specification and photographs. Check sleeping arrangements, bathroom facilities, privacy, boarding access, meals and luggage storage. The sample uses covered-deck mattresses and mosquito nets with a shared bathroom; an air-conditioned cabin is not assumed. River conditions and park access can change the daily programme. 6. READ THE QUOTE AS A SERVICE LIST Confirm the accommodation, rooming, meals, transport, guiding language, excursions and admission fees. Look for the currency, price basis, taxes, mandatory supplements, quote validity and availability status. Flights, entry arrangements, insurance, gratuities and personal expenses must not be assumed included. Ask for anything unclear to be itemised. Only the services explicitly included in the final quote are included. 7. AGREE THE COMMERCIAL TERMS Review payment milestones, cancellation conditions and amendment fees. Identify non-refundable supplier commitments before approving them. Agree who confirms a booking, how changes are authorised and what happens when a requested service is unavailable. Brand use, client ownership, confidentiality, direct guest contact and support arrangements belong in the written partnership or booking terms. They are not created by browsing a website or sending an enquiry. 8. CONFIRM THE TRAVEL HANDOVER Before departure, establish the final itinerary and supplier details, operational contacts, support hours and escalation procedures. Agree which guest information is needed and how it will be transferred safely. Keep proposed services clearly separate from confirmed arrangements. 9.
